Office Manager


– Accepting applications

As our Office Manager, you’ll be responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational efficiencies.


The Responsibilities

  • Greet visitors with a friendly demeanor, and screen for solicitors.

  • Attend to phones, file paperwork and assist with printing and scanning documents.

  • Manage inflow and distribution of mail — both voice and snail.

  • Provide administrative support: organize meetings, make arrangements, assist with typing letters and emails, prepare documents for review.

  • Maintain inventory of supplies, place orders for new supplies as necessary.

  • Work directly with accountants to ensure that necessary paperwork is properly completed in a timely fashion.

  • Enter vendor invoices and manage payment cycles.

  • Generate customer invoices and follow-up to ensure that invoices are paid on time.

  • Produce internal reports and statements for clients as needed.

  • Know the status of projects in production.

  • Assist Project Manager with writing up tasks.

  • Excellent writing, grammatical and communication skills.

  • Knowledge of Quickbooks and/or bookkeeping a plus.
